The following services on the eTrac main menu are available to all active USC employees. For detailed instructions on how to enter different types of information on the system, refer to the eTrac Data Entry Guidelines.
- Benefits Enrollment
- This feature allows you to enroll and change your benefits plans online via eTrac. If you have or are adding dependents to your plan,
first check that the dependent's information is in the system and correct with the Personal Associates Update feature.
The following Benefits enrollment are available at this time:
• Health Insurance
Modify your health insurance plan.
• Dental Insurance
Modify your dental insurance plan.
• Flexible Spending Accounts
Modify your FSA contributions.
• Supplement Retirement
Modify your supplemental retirement contributions.
- Payroll Direct Deposit
- Sign up for Direct Deposit of your paycheck or making changes to your existing setup.
- Work Information Update
- Update your work information, your USC Directory listing, and control the printing of your Direct Deposit advice slip.
- Personal Information Update
- Update your home contact information and personal demographics.
- Tax Status (W4/DE4) Update
- This process allows you to change your Federal and State tax status, number of allowances and withholding amounts as you would with an IRS Form W4 or California Form DE4. However, you cannot use this online form to do any of the following:
- Claim more than 9 withholding allowances.
- Change tax exemption status.
- Change foreign tax status.
- Change out-of-state tax status.
- Personal Associates Update
- A "Personal Associate" is someone who has some personal affiliation with you, such as your spouse, children, friend, etc. Entering personal associates into the system allows you to include them as dependents on your USC benefits plans if they are eligible for benefits. It also allows you to select them as your emergency contacts.
- Part Time Faculty Certification of Hours
- This online process allows Part-Time Faculty to certify the number of hours worked.
- Benefits Inquiry
- View a summary of your basic benefits plans, coverage and deduction amounts.
- Payment Stub Inquiry
- Use this inquiry to look up your past payroll information.
- Voluntary Deduction Inquiry
- This inquiry lists your voluntary payroll deductions.
- Calendar Year-to-Date Totals Inquiry
- This inquiry displays your payroll totals from the beginning of the current year to your last pay.
- Calendar Yearend Tax Reporting (W2 & 1042S) Inquiry
- This inquiry displays your annual payroll totals from previous years. The information displayed is the same data that was reported on your W-2/1042S forms. If you require an official W-2 or 1042S form printout, request one with the Calendar Yearend Form Duplicate Request.
- Tax Modeling
- Tax Modeling is a unique environment where you may experiment with different tax withholdings, earnings and deductions to calculate a sample model of how much taxes would be taken and what your final take-home pay would be. This is only a modeling calculator; no changes are actually made to your file via this process.
- Calendar Yearend Form (1042S) Duplicate Request
- This is a request for an official 1042S duplicate form. Use
- Employment Verification Request
- If an outside agency requests an official verification of your employment with USC, use this process to submit a request for Payroll Services to produce one.
- Change Your PIN
- Click this link to change your eTrac PIN access number to the system. It's recommended that you change your PIN periodically.
